Cancellation, Refund, and Program Terms Policy
1. Definitions
- “Participant” refers to the enrolled student.
- “Institute” refers to the program provider.
- “Program Start Date” refers to the first scheduled day of classes or program activities.
- “Departure” refers to the participant’s scheduled departure to the program location or the Program Start Date, whichever occurs first.
2. Cancellations by Participant (Prior to Program Start Date)
This policy applies regardless of whether the program has been partially or fully paid. Refunds, if applicable, are limited to amounts already paid.
- Application rejection or cancellation up to seventy-five (75) days prior to departure: Full refund of amounts paid.
- Cancellation between seventy-five (75) and forty-five (45) days prior to departure: USD $250 cancellation fee.
- Cancellation between forty-five (45) and fifteen (15) days prior to departure: USD $500 cancellation fee.
- Cancellation fifteen (15) days or fewer prior to departure: USD $1,000 cancellation fee.
Applicable cancellation fees will be deducted from amounts paid. If the cancellation fee exceeds the amount paid, the Participant remains responsible for the balance.
All cancellations must be submitted in writing and are effective on the date received by the Institute.
3. Cancellations After Departure or After Program Start
- Tuition: Non-refundable once the Program Start Date has passed or the participant has departed for the program, whichever occurs first.
- Room and Board: Refund of USD $20 per unused day of room and board, calculated from the date written notice of cancellation is received.
No refunds are provided for missed classes, voluntary withdrawal, dismissal, or unused services.
4. Visa, Passport, and Entry Requirements
Participants are solely responsible for obtaining valid passports, visas, and any required entry documentation.
- Failure to obtain or maintain proper documentation does not constitute grounds for a refund outside the standard cancellation terms.
- Visa denial is treated as a participant cancellation unless otherwise required by law.
5. Program Changes or Cancellation by the Institute
The Institute reserves the right to modify program dates, curriculum, housing, or activities when necessary due to operational, safety, or academic considerations.
If the Institute cancels a program prior to the start date, participants will be offered either:
1. A transfer to a comparable program, or 2. A refund of payments made for services not yet rendered.The Institute is not responsible for non-refundable travel costs, personal expenses, or third-party fees.
6. Force Majeure
The Institute shall not be liable for failure or delay in performance resulting from circumstances beyond its reasonable control, including but not limited to:
- Natural disasters
- Acts of government
- War, terrorism, or civil unrest
- Epidemics or pandemics
- Travel restrictions
- Strikes or labor disputes
- Utility or transportation disruptions
In such cases, refunds or credits, if any, will be determined at the Institute’s discretion, taking into account unrecoverable costs.
7. Dismissal
The Institute reserves the right to dismiss a participant for misconduct, violation of rules, illegal activity, or behavior that endangers themselves or others.
Dismissed participants receive no refund.
8. Refund Processing
- Refunds are issued to the original payer.
- Bank fees, credit card charges, and currency exchange differences may be deducted.
- Processing times may vary.
9. Acceptance of Terms
Enrollment in the program constitutes acceptance of this policy and all related terms and conditions.
